Yard Fuel Tracking & Fuel Attendant

Yard Fuel Tracking & Fuel Attendant

Track every gallon pumped at your yard against every gallon pumped on the road. Catch fuel fraud, eliminate paper logs, and tie every fill-up back to the load and driver who used it. Standalone or fully integrated with the ZuzHQ TMS.

What is Fuel Attendant Software?

One log for yard fuel, road fuel, and the loads that consumed them — no paper, no spreadsheets, no missed gallons.

1

Yard fuel, fully accounted for

Every gallon pumped at your fuel island is captured live — driver, truck, load, gallons, time, and pump. No more clipboards by the diesel pump, no more end-of-week reconciliation guesswork.

2

Catch fuel fraud the moment it happens

Compare yard fuel and fuel-card transactions against tank capacity, MPG, and load history. Outliers — overfills, double-pumps, ghost transactions — are flagged the moment they hit the system.

3

Synced to every load

Each fill-up is attributed to the load and driver who consumed it. Excess fuel above plan triggers a reason code, so you know which loads — and which lanes — are bleeding gallons.

Standalone or Fully Integrated

Buy only what you need today. Scale into the full platform whenever you're ready.

Use it standalone

A complete yard fuel and fuel attendant platform on its own. Built for fleets that just want to lock down their fuel island without replacing their TMS yet.

  • Everything you need at the pump: driver auth, gallons, photos, signatures
  • Mobile app for attendants and drivers — works offline at the island
  • Same product, same database — upgrade to the full TMS anytime without migrating

Or fully integrated with the TMS

When you're ready, turn on the ZuzHQ TMS and every gallon ties back to the load, driver, and lane that consumed it.

  • Each fill-up attaches to the active load and driver automatically
  • Excess fuel above plan triggers a reason code and notification
  • Cost-per-mile, MPG, and IFTA recalculate the second a transaction hits
  • Fuel transactions roll into driver settlements and accounting with no re-keying

Everything You Need to Run a Fuel Island

One platform for every gallon — pumped on yard, pumped on the road, attributed to a load.

On-Site Pump Tracking

Capture driver, truck, gallons, and timestamp at every yard pump. No clipboards, no paper, no end-of-week guesswork.

Fuel Fraud Detection

Flag transactions that exceed tank capacity, double-pumps, off-hours pulls, and pumps without an active driver assigned.

Per-Load Attribution

Every fill-up attaches to the load and driver who consumed it. Know which loads, lanes, and customers are bleeding gallons.

Excess Fuel Reasons

When gallons exceed the planned consumption for a load, drivers and dispatchers tag a reason code — idle, weather, route diversion, or escalation.

Driver Authorization

PIN, badge, or QR code at the pump confirms the driver. No driver, no fuel — and every gallon ties to a real person.

Daily Reconciliation

Pump totalizers, tank deliveries, and transactions reconciled every shift. Variance alerts surface the second numbers don't add up.

Paperless Logging

Replace clipboard logs and end-of-day handoffs with digital records — searchable, exportable, and audit-ready forever.

MPG & Outlier Alerts

Track MPG per truck and per driver. Outliers — sudden drops, suspicious overfills, low fills — are flagged before they bury you in cost.

Attendant Mobile App

A real mobile app — not a mobile-friendly website — for fuel-island attendants, with offline capture and sync when wifi returns.

On-Site Pump Tracking

Every Gallon, Captured at the Pump

Every fill-up at your yard fuel island is captured live: driver, truck, gallons, pump, and time. Yard fuel and road fuel land in the same log, so for the first time you can see where every gallon went without piecing together paper and card statements.

  • Driver and truck identified at the pump before fuel flows
  • Yard pump and road fuel-card transactions in one unified log
  • Photo of the pump display attached to every transaction
  • Offline capture for attendants when wifi drops
  • Real-time totalizer reads from connected pumps

Fuel Fraud Detection

Catch Fraud Before It Drains the Budget

ZuzHQ compares every fuel transaction against tank capacity, MPG history, load activity, and driver assignment. The second something doesn't add up — an overfill, a double-pump, a transaction with no driver — it's flagged for review.

  • Overfills above tank capacity flagged automatically
  • Double-pump and rapid-repeat transactions surfaced
  • Transactions without an authorized driver blocked
  • Off-hours and off-yard pulls reviewed by exception
  • Photo, video clip, and pump telemetry stored with every alert
Per-Load Attribution

Fuel Tied to the Load That Used It

Each fill-up attaches to the active load, driver, and lane the moment it lands in the system. Excess fuel above plan triggers a reason code from the driver — idle, weather, route diversion, escalation — so you finally know why a load went over plan.

  • Every gallon tied to a load, driver, and lane automatically
  • Plan vs. actual gallons compared at the close of every load
  • Excess fuel reason codes captured in the driver app
  • Cost-per-mile and margin recalculate per load instantly
  • Lane and customer reporting on real fuel consumption

  • Outlier detection on sudden MPG drops
  • Per-lane and per-customer fuel cost reporting
  • IFTA-ready exports by jurisdiction and truck
  • Roll-ups by terminal, region, and fleet for ownership review

Frequently Asked Questions

Fuel Attendant Questions Answered

Can I use Fuel Attendant without the full TMS?

Yes. It runs completely on its own as a dedicated yard fuel platform. You get pump capture, fraud detection, fuel-card reconciliation, and IFTA-ready reports without ever turning on dispatch or other ZuzHQ modules.

What happens if I upgrade to the full TMS later?

Nothing migrates. It's the same product and the same database. When you turn on the full TMS, your existing fuel transactions, drivers, and trucks are already there — they simply start attributing to loads, settlements, and accounting.

Does it work with my existing fuel cards?

Yes. ZuzHQ integrates with Comdata, EFS, WEX, and other major fuel-card providers. Card transactions reconcile against yard pump activity and tank levels automatically.

How do you detect fuel fraud?

Every transaction is compared against tank capacity, MPG history, load activity, and authorized driver. Overfills, double-pumps, off-hours pulls, and ghost transactions trigger an alert with photo and pump telemetry attached.

Can I tie fuel to specific loads?

Yes. Each fill-up attaches to the active load and driver. When fuel exceeds the plan for a load, drivers tag a reason code in the app — so you know why excess fuel was used, not just that it was.

Does it support tank level sensors?

Yes. Connect Veeder-Root and other automatic tank gauges to see live diesel and DEF levels. Reorder alerts fire automatically and pump-vs-tank reconciliation runs continuously.

Does it work offline at the fuel island?

The attendant mobile app works offline. Pump captures, photos, and signatures queue locally and sync as soon as connectivity returns — so a dead wifi access point doesn't stop fueling.

How fast can I get set up?

Most fleets capture their first pump transaction within a day. Onboarding is CSV-based for trucks, drivers, and pumps, and our team helps you migrate from paper logs, spreadsheets, or a legacy fuel system.
