What the integration does
ZuzHQ pushes invoices, customer records, and payment data into QuickBooks Online via the official QuickBooks API. When you mark a load delivered in ZuzHQ, the system generates an invoice and writes it directly to QuickBooks under the correct customer, with line items, accessorials, and tax codes already mapped.
Payments recorded in QuickBooks sync back to ZuzHQ so dispatchers and back-office staff see paid status without checking two systems. New customers added in ZuzHQ are created in QuickBooks automatically. Vendor and expense records can flow in either direction depending on how you prefer to keep your books.

What data flows between ZuzHQ and QuickBooks
Invoices
Invoices generated in ZuzHQ from delivered loads are pushed to QuickBooks with the right customer, line items, accessorials, and tax codes.
Payments
Payments recorded in QuickBooks sync back to ZuzHQ so paid/unpaid status is consistent across both systems.
Customers
New customers added in ZuzHQ are created in QuickBooks automatically. Existing customers are matched by name or ID.
Expenses
Fuel, maintenance, and driver expenses tracked in ZuzHQ can flow into QuickBooks as expense entries with the right account mapping.
Two-way Sync
Most data flows in both directions. You decide per data type which system is the source of truth so updates stay consistent.
How to connect QuickBooks Online to ZuzHQ

Authenticate with QuickBooks Online
In ZuzHQ, go to Settings > Integrations > QuickBooks and click Connect. You'll be redirected to Intuit to log in and authorize ZuzHQ to access your QuickBooks Online company.

Map your chart of accounts
Choose which QuickBooks income, expense, and AR accounts ZuzHQ should write to. Most carriers can use ZuzHQ's recommended mapping out of the box.

Map customers and items
Run a one-time match between your existing ZuzHQ customers and QuickBooks customers. ZuzHQ auto-matches by name and lets you fix any conflicts manually.

Run a test invoice
Generate a test invoice in ZuzHQ and verify it appears correctly in QuickBooks. Once confirmed, every future invoice flows automatically.
QuickBooks integration FAQ
Does this work with QuickBooks Desktop or only QuickBooks Online?
The native integration is for QuickBooks Online. QuickBooks Desktop users can export from ZuzHQ and import into Desktop, or migrate to QuickBooks Online for the full integration.
Will the integration overwrite my existing QuickBooks data?
No. ZuzHQ only writes new invoices and customers it generates. Existing QuickBooks data stays untouched. You explicitly choose which direction each data type flows.
How are accessorials and fuel surcharges handled?
ZuzHQ maps each accessorial type (lumper, detention, fuel surcharge, etc.) to a QuickBooks item or income account during setup. Each invoice line item appears in QuickBooks under the right account.
What happens if a load is voided or an invoice is corrected?
Corrections sync to QuickBooks as updates or credit memos depending on the change. ZuzHQ never silently modifies QuickBooks records — every sync is logged so your bookkeeper has a full audit trail.
