The 15-Minute Back-Office Audit for Trucking Companies

Your trucks get inspected. Your back office probably doesn't. Yet that's where hours disappear every week — in billing that runs days behind, settlements figured by hand, and the same load typed into three different places. This audit takes about 15 minutes. Answer honestly, add up your score, and you'll know exactly where to start.

How to score it

Each question has three answers. Give yourself 2 points, 1 point, or 0 points. There are ten questions, so the top score is 20. Grab whoever runs billing and pay — they'll know the real answers.

Getting paid

  • 1. How long from delivery to invoice sent? 2 points: same day. 1 point: one to three days. 0 points: longer than three days, or "it depends."
  • 2. Where do PODs live? 2 points: matched to the load automatically. 1 point: in a shared folder or inbox someone sorts. 0 points: in trucks, texts, and paper piles.
  • 3. Who checks the invoice against the rate con? 2 points: it's checked automatically before it goes out. 1 point: someone eyeballs it when they have time. 0 points: nobody, until the customer short-pays.
  • 4. How many days does it take to get paid? 2 points: under 30. 1 point: 30 to 45. 0 points: over 45, or you're not sure.

Paying drivers

  • 5. How are settlements figured? 2 points: automatically from delivered loads, with deductions applied. 1 point: a spreadsheet with formulas. 0 points: by hand with a calculator.
  • 6. How do drivers get paid and see their pay? 2 points: direct deposit plus a clear statement. 1 point: direct deposit, but statements are rough or late. 0 points: printed checks and phone calls to explain them.

Systems and data

  • 7. How many places does one load get typed into? 2 points: once. 1 point: twice. 0 points: three or more (TMS, spreadsheet, QuickBooks, broker portal...).
  • 8. Does billing flow into accounting by itself? 2 points: yes, invoices and payments sync automatically. 1 point: we export and import. 0 points: someone re-types it.

Compliance and cost

  • 9. How long does IFTA take each quarter? 2 points: under two hours, mostly automatic from ELD and fuel data. 1 point: a day. 0 points: several days of digging through receipts.
  • 10. Can you see profit per load today? 2 points: yes, any load, any time. 1 point: at month-end, roughly. 0 points: not really.

What your score means

  • 16 to 20: Your back office is in good shape. Look for the one question you scored lowest on and tighten it up.
  • 10 to 15: Typical for a growing carrier. You're losing real hours every week, usually in billing and pay. Fix the lowest-scoring area first.
  • Under 10: Your team is working hard to hold it together. The good news: the first fix usually pays for itself fast, because there's so much re-typing to remove.

Fix one thing first

Don't try to fix everything at once. Pick the lowest score in "Getting paid" — that's where money is sitting — and start there. Change is easier one piece at a time.

Frequently asked questions

Who should take this audit?

The owner plus whoever handles billing and driver pay. The owner knows the goals; the back-office team knows where the time actually goes.

How often should we do it?

Once a quarter is a good habit — around IFTA time works well. Track your score and watch it climb as you fix things.

Do I need new software to score well?

Not necessarily. Some carriers score well with tight processes. The audit is about hours and cash, not tools. Software just makes the high scores easier to keep as you add trucks.
